Morningside HOA Board Meeting

Meeting Minutes
Ben Whipple called the meeting to order at 6:37 p.m.
In attendance: Ben Whipple, Matt Huff, Andrew Johnson, Phillip Blume, Jeff Miller & Jimmy Newland.
Approval of Minutes: Andrew motioned, Philip seconded, and minutes from 8/18/21 meeting were approved.
Reports on Open Items
Front of Neighborhood:
- Andrew cut some limbs up front – no company ever hauled off the limbs
- Philip also cut and he finally hauled off himself
- Andrew has the landscaping “RFP” done and he will send out to the board
- Matt reported the water is off up front. He is waiting on Cory to get our deposit back.
- No one has looked for the “no soliciting sign yet” – Jimmy will do.
- Discussion on looking at trees behind Gigi Davis’s house – didn’t happen because was raining – Andrew following up.
- Ben talked to Kevin (owner of first house on left) about the retention area at the back of his property and the need to keep the drain clear.
Ben announced that the social committee would not be doing anything for Fall, but that they would try to target doing something during the Christmas season.
Matt reminded we need to include in correspondence to the neighborhood about not having cars on street for an ongoing or continual basis. Andrew also mentioned that it would be good to include a reminder on the ACC guidelines.
Neighborhood Trash Pickup
- Matt presented the budget and the group consensus was that if the trash service wound up eating into the reserves a little bit it was okay, so long as there was still at least one year of expenses in reserve.
- Questions were raised to clarify what lead time AAA would need, the type of recycle containers that would be available, and whether existing AAA customers in the middle of a three-month cycle would have amounts prorated or credited. Philip will follow up on those items. In emails subsequent to the meeting, Philip relayed that customers would be able to have a 96 gallon roll-off cart for recycling if they requested it. Existing AAA customers would have any remaining prepaid months past January 1 refunded to them. AAA needs a three month or so lead time so timing was good. AAA will be in touch with homeowners closer to the end of the year to get container preferences, etc.
- With a January 1 cutover, we need to communicate to the neighborhood about trash pickup so they have time to notify their current carriers to stop service. Jimmy recommended that this communication needed to go out by Thursday, 9/30 to give a full three months’ notice.
- Philip made a motion to approve including trash pickup as a service to the community, Jimmy seconded, and the motion was unanimously approved.
New Business
Board Composition – Mike Pilcher expressed interest in board involvement. Jeff Miller agreed to step aside at the end of the calendar year and Mike would assume his spot.
Bylaws – A question came up of whether we have or need bylaws (in addition to covenants). Ben will add to his to-do-list to research this issue.
Andrew motioned to adjourn, Philip seconded, and Ben adjourned the meeting at 7:38 p.m.
